Performing a Search

  1. Navigate to Edit > Find/Change to open the search panel.

  2. Before executing your search, configure the scope using the Search menu. Your choice here determines the breadth of your operation and directly impacts efficiency:

    Document: Searches all text frames (Stories) in the entire InCopy layout—ideal for global changes and consistency checks
    Story: Searches only the current text frame (Story) you're working in—perfect for localized edits within specific sections

  3. Enter your search criteria in the Find what field and specify the replacement text in Change to. Be precise with your terms—InCopy will match exactly what you type, including capitalization and punctuation.

  4. For advanced editing scenarios, InCopy offers sophisticated options that extend beyond basic text replacement:

    • Click More Options in the bottom right to reveal formatting controls, allowing you to search for and replace character styles, paragraph styles, and other formatting attributes—particularly useful when standardizing document appearance.

    • Access special characters through the find change spec char arrow arrow menu. This feature proves invaluable for finding hidden formatting elements like forced line breaks, em dashes, or non-breaking spaces that can cause layout issues.

  5. Execute your search by clicking Find Next to move forward through the document, or Find Previous if you've set the Direction to Backward to review previous instances.

  6. When InCopy locates a match, you have strategic options for handling the replacement: click Change to replace the current instance and maintain control over individual edits, or click Change All to replace every occurrence simultaneously—use this powerful option carefully, as it cannot be easily undone in complex documents.

  7. Close the panel by clicking Done when your search and replace operation is complete. The panel will remember your last search terms for quick reuse in subsequent operations.
